How do I handle a parent who didn’t receive a proof card?

If a parent lets you know they haven’t received a proof card, don’t worry — we’re here to help you resolve it quickly and securely.


📦 How are proof cards delivered?

Proof cards are delivered to your school by courier and are usually handed out to students by school staff. Occasionally, a card might be misplaced or missed during distribution.


📝 What should we do if a parent reports it missing?

Please email us at schools@wrates.co.uk with the following information:

  • The student’s full name

  • Their class or year group

We'll send you a secure digital link for that student’s photo gallery, which you can forward to the parent or carer directly.


🚫 Can parents contact Wrates directly?

They can — however, for safeguarding reasons, we will always contact the school first to confirm permission before sending any login details.

To avoid delays, it’s often quicker for the school to request the link on the parent's behalf.


🔐 Do you provide a full list of access codes?

We don’t automatically supply this, but if you need a list of all access codes for your school, just email schools@wrates.co.uk and we’ll send one securely.
